WEEK 12

There is no class during that day, so we managed to do our group meeting to discuss on what to include in our final findings. We also set the time for the final interview with the company as we need to proposed the new system which we need to re-engineer the current system.We decided that on next Monday(1Oct 2007) we will meet En Azmi. Other that that, we discuss on the benefits/weakness of the new system.

WEEK 13

VENUE: PHARMACY NASRA

As we had planned last Thursday, today we’ve met En Azmi for our final findings on the payroll part. We need to know how the process of the payroll.We also discussed with En Azmi on our new system that we had proposed. As the result, we think the suitable system that may be replace with the current system is by using auto calculation. On our last project plan, we decided that database will be good to implement but the company is not big enough in term of the total of workers are only 20+ employees. So, En Azmi agreed that the new system (auto calculation) that we had proposed are more relevent and suitable enough for the small company.

We also prepared the slides on our final findings to be present in the class on Tuesday(2 Oct 2007).

In the class, Pn Ros give each group a set of question that need to be answer based on the article of A Case Study in Small Business in North-West Tasmania.We need to answer the following 4 question:

       1. Summarize the business practice of a small company in North West Tasmania.

       2. Identify the company business processes.

       3. Describe the problems and issues that the company is facing before the

           reengineering  process.

       4. Based on your opinion, suggest the solution to the problems and issues above.

WHAT Template    

Collecting payment is important for staff

  • Staffs’ salary must accurate base on their working hours
  • Punch card collection must be on time
  • Every branch must have representative to manage staff salary

System to calculate salary is required

  • To calculate the salary need to have different calculation because there are part time and full time worker
  • Calculation must be accurate
  • Efficient system of calculation for the salary
WHO Template    

The finance manager is required to collect or double check the salary amount

  • Can be done by other staff. For example clerk
  • To hired a representative to collect the details of salary

Only specific person is required to calculate the salary

  

  • Can be done by other management staff
  • Expose and train the staff how the salary been calculate
WHERE Template    

A staff can only collect salary at the office (check)

  • To make sure staff get their salary in easy way
  • Using the bank-in system
WHEN Template    

Salary must be calculate and check before the payroll

  • Salary details must be collect on time so that the calculation can be made
  • The system that enable collect staff working hours and calculate the salary every month end

Salary be pay on time to staff is important

  • Staff will get the salary on time
  • The system that enable calculate the staff salary on time
 WHY Template     

Staff salary must be retrieve at finance department to ensure the availability of salary to staff account

  • Staff manager in HQ should keep in touch with finance department all the time
  • Establish web mail to ease communication between department

A staff manager must collect punch card with him to ensure correct staff’s working hours insert into MS Excel to do the calculation

  • Punch card should available and locate safely and conunient to staff manager
  • Establish electronic staff’s entry and off system that authorize by account manager
HOW Template    

Salary be counted based from full time and part time

  • Salary be counted manually by MS Excel and after that they need to double check using the calculator
  • To have an efficient system that can calculate accurately

Salary will be distribute to staff in different way

  • Finance will bank in the salary to staff account

     ( for OT or allowance  

       using check)

  • Using one method to distribute money (salary/OT/allowance)

In this week, we had a second presentation for our group project progress. In this presentation,we present about our finding on business process that we want to re-engineered. Our group has decided to re-engineered on salary process.

Besides that,we also have a discussion about how to complete our template according to the business process that we have decided to re-engineered.

Week 7:

On week 7, we only meet up to discuss more about the assumption template & prepare the salary calculation based from our understanding during our interview on previous week(week 6).

Week 8 :

no group meeting (Mid term break)

Week 9:

On week 9, since we need to prepare slides for presentation on our progress; we had a meeting on Tuesday(4/9/07 ;830pm-11pm) to discuss on the contents and prepared the slides as well. Then, on Wednesday(5/9/07 ; 9am-11am) we meet up for further discussion and completed the slides. But we not be able to present during class hour because not enough time since there are many groups that need to present on their progress too. So, the presentation for our group will be continue next Wednesday.

On Tueasday, we went to the Nasra pharmacy again to know the roles of each unit for the company. It is divided into 3 units which are management,operation and pharmacy. Then, En Azmi( Account & Admin Manager) briefed us about how the staff salary be counted as we had narrow the scope which we’re requested by En Azmi to propose them a salary system.

We had a group discussion in the class where we’ve been tasked by our lecturer, Pn Rosnafisah to do the  templates for assumption surfacing of Pharmacy Process Flow. It contains of Assumptions( What,Who,Where,When,Why,How),Challenges and Ideas. These template helped us as a guide for us to make decision, so that we can achieve the reeingineering objectives.

 This week we go to the case study at seksyen 8 Bandar Baru Bangi to know their company background product and services company provided.we also take same picture there and set the date for the next meeting.

There is some questions we ask during that interview such as:

About company background

 1) When the business operation?

 2) What the product and services that your company provided?

 3) How many employee that your company have?

  4) When this business start corporated?

  5) Do you use any system in your company?
      If yes,what kind of system you use?

  6) There is any problem that company have?

We have presentation about our progress, in this presentation we talk about company background, problems that company have, activities from week 2 until this week and the plan that we want to do after this.

Comment from lecturer about our progress presentation is:

We have to know about the business process that company have and narrow down the specific problem that company face.

Way Forward:

         To find out how the staff salary being calculate for fulltime and part time staff.

         To know more of the management process of the company.

Group meeting August 3, 2007

For yesterday meeting, our group leader Jafni asked Rahmalidya to prepare the official letter to be given to Pn Rosnafisah. With the letter, we will be able to proceed with the next step that is to interview the company.As mentioned in previous blog, we have found the new company that is pharmacy[Farmasi Nasra]. Based on the company bussiness, we need to prepare questions that more related to this company system.

Way forward:

  1. Rahmalidya will prepare the official letter.
  2. Each of us need to prepare questions for the interview.
  3. On next Monday, we will meet again to discuss on the questions and finalize the questions again before we go to interview the company.
  4. Probably on  next Tuesday or Thursday(tbc), we will go the company to start with the interview session.

Company for our Group July 31, 2007

Actually, from our previous plan, we have decided to focus more into pet shop, restaurant, laundry, salon   and stationery but after the survey today, we have found a different type of business that is pharmacy. The pharmacy name is Pharmacy Nasra located at Seksyen 8. As for the next step, we need to provide an official letter  for the next interview as requested by the company.

Second meeting July 27, 2007

Progress

1) First, our project leader explain about what have been discuss
     with lecturer and talk about what we need to do in our meeting.

2) We discuss about our plan for next meeting and to set date
      for survey.Below are our plan for this weekend:

-> 27 July 2007 (Friday)

– We will do the survey to choose which company that
   suitable for our project. We do notdecide yet which
   company we want to choose.We will do the survey based
   on the type of bussines that we will focusing.                                                                                                                     

   We decide five types of bussiness which are pet shop,
   restaurant, laundry,salon and book store.
   From this survey, we can know a little bit information
   about that bussiness.

-> 29 July 2007 (Sunday)

– After done with the survey, we will have meeting to
  decide about time to go to that company.

-> 30 July 2007 (Monday)

– Start our interview with company that we choose.
  Then, we also discuss about what types of question
  that we want to ask in interview.Below is our draft
  questionaire for that company:

      1. What your objectives doing this bussiness?
      2. Current organization structures and management system
      – Is it managed by certain unit?
      – How many unit your company have?
      – Ask about cost,product,suppliers,employee and etc
      – Employee responsibilities
     3. Performance of this bussiness?Any problem accured?
     4. Quality of services?
      – speed in term of servicing the customer
      – current services for customer?
     5. Your company have delivery?
      – for future, your company will produce new product?
      – Will you extend your bussiness to other area?
     6. Do you use any system in your company?
      -If yes,what kind of system you use?
     7. What is the competence of staff?
     8. How does customer response to your services provided?

4) On next Sunday,we will discuss again about this questionaire
     and make confirmation.
